How to Take Online Service Booking Requests Without a Booking System

Last updated October 6, 2026

You can let customers request a service on your website even if your workshop booking system isn't connected to Vyro. Customers enter their vehicle, pick a service, a location, a preferred date and a drop-off time, and your team confirms the booking time with them. Showroom managers and owners can set it up. Service bookings must be included in your plan.

How request bookings work

  • Dates come from your opening hours. The calendar offers every day the chosen location is open (or its workshop, if you've given it separate workshop hours), from the minimum notice you set up to 60 days ahead. Days the location is closed, and days covered by a closed override such as a public holiday, can't be picked.
  • Customers enter their vehicle details themselves. There is no registration lookup, so customers type the make, model and odometer.
  • It's a request, not a confirmed slot. The customer sees Request my booking and, afterwards, a message that you'll confirm their booking time. Each request appears under Servicing → Service Bookings for your team to follow up.

Step 1: Turn on service booking requests

  1. Sign in at https://vyro.co/access.
  2. In the left-hand menu, click Settings.
  3. Select General Settings, then click Service Bookings.
  4. Turn on Enable Service Bookings.
  5. In Booking Availability, choose Request (your team confirms the time).
  6. Optionally, turn on Allow Guest Service Bookings so customers can book without creating an account.
  7. Click Save changes at the bottom of the page.

Step 2: Add your service and transport types

  1. In the left-hand menu, open Servicing, then click Service Types.
  2. Add each service customers can request, for example a logbook service, with its estimated duration.
  3. Click Transport Types and add how customers can get to and from the workshop, for example drop-off and wait, or a loan car.

Step 3: Offer them at each location

  1. In Settings, click Locations and open a location.
  2. Click the Service Bookings tab.
  3. Under Service Types and Transport Types, add the ones this location offers. Set Min. notice to how many days ahead a customer must book.
  4. Save, then repeat for each location that takes service bookings.

A location only appears to customers when it offers the service type they choose.

Step 4: Check the location's opening hours

  1. On the same location, click the Opening Hours tab.
  2. Under Regular, make sure each day's hours are right. Leave a day empty to mark it closed.
  3. Under Overrides, add any closures, for example public holidays or a shutdown period. A closure that covers the whole day removes that day from the calendar.

If a location has no opening hours set at all, every day is offered.

Workshop hours that differ from your opening hours

A location's opening hours are usually your sales hours, and your workshop may keep different ones. For example, the yard might open on Saturdays while the workshop is closed. You can give the location its own workshop hours:

  1. On the location, click the Opening Hours tab, then Workshop. It appears once Booking Availability is set to Request.
  2. Turn off Same as opening hours. The week starts from the location's opening hours.
  3. Switch each day on or off, and set the times the workshop takes cars on the days it's open. Keep at least one day open.
  4. Click Save workshop hours.

The location's booking calendar then uses the workshop hours instead of the opening hours. Closures under Overrides still apply. To go back, turn Same as opening hours on again and save. Locations you haven't changed keep using their opening hours.

Step 5: Set drop-off times and your contact link (optional)

Back in Settings → General Settings → Service Bookings:

  • Earliest Drop-off Time and Latest Drop-off Time set the drop-off times customers choose from, every 30 minutes, in 24-hour time such as 07:30 and 10:00. Leave both blank for the standard times.
  • Drop-off Help Text replaces the note shown under the drop-off times.
  • Service Bookings Contact Link is where the "contact us" link points when no service or location suits a customer's vehicle. Leave it blank to use your website's /contact page.

Click Save changes when you're done.

Result

On your website, go to /service-bookings/step/start. You can enter a vehicle without a registration lookup, the calendar shows only days the location is open, and the last step reads Request my booking. After you submit, the booking appears in Servicing → Service Bookings.
