Setting Up Finance Managers and Editors

The Finance Product Approval system uses two roles:

  • Finance Editor — Can view, create, and edit finance product drafts. Must submit changes for approval before they go live.
  • Finance Manager — Can do everything an editor can, plus approve, reject, or request changes on submitted drafts.

Who Can Be Assigned Each Role

Support-level users can be editors but cannot be assigned as Finance Managers.


Assigning Roles

Finance role is its own control on the Security tab — a member is a Finance Editor, a Finance Manager, or neither (not both). It sits apart from the Services list.

  1. Go to Team in the Dashboard sidebar
  2. Click on the user, then open their Security tab
  3. Under Finance role, choose Finance Editor, Finance Manager, or None
  4. Picking a role reveals Market access — leave it on All markets, or scope the person to specific markets (see below)
  5. Save changes

The two roles:

  • Finance Editor"Can create drafts and propose changes to live products. Publishing requires manager approval."
  • Finance Manager"Can approve or reject finance product changes submitted by editors."

Market Access

By default a Finance Editor or Manager covers all markets. You can scope someone to just the markets they're responsible for.

For one person — from their Security tab:

  1. Choose their Finance role (above)
  2. In Market access, switch from All markets to Specific markets
  3. Tick the markets they manage (leave it on All markets for full coverage)
  4. Save changes

A scoped member only sees and edits finance products in their markets (plus any all-market products), and new products they create start in one of their markets.

For your whole team at once — the Market access matrix (owners):

On Finance Products, open Settings (the gear) → Market access. This is a grid of your finance team against every market, so you can assign coverage in one place. It flags any market with no Finance Manager — i.e. no one who can approve that market's drafts.

Every market needs at least one Finance Manager, for the same reason the showroom does: without one, that market's drafts can't be reviewed.


Notes

  • A user with Finance Manager can also perform editor actions (propose changes, save drafts). You do not need to assign both roles to the same user.
  • The Finance role control (and Market access) only appears in the Security tab when Require Approval for Finance Changes is enabled in Settings → General Settings → Finance Products.
  • If you assign a Finance Editor but no Finance Manager exists, you'll see an inline warning: "No Finance Manager is assigned. This user's submissions won't be reviewable until a manager is set up."
  • If you assign a Finance Manager but no Finance Editors exist, you'll see an inline notice: "No Finance Editors are assigned yet. Without editors, no one will submit changes for review."
  • Owners and Managers who do not have the Finance Manager role will behave as editors — they can propose and submit changes but cannot approve them.

Recommendations

  • Assign Finance Manager to 1–2 senior team members who should review pricing changes
  • Assign Finance Editor to support staff who need to propose finance product updates
  • Consider having at least 2 managers to avoid bottlenecks when one is unavailable
